How to Get Free Tasks in Zapier: Apps and Steps That Don't Count Against Your Plan

Zapier counts tasks to determine billing, but not every step in a Zap consumes a task. Zapier has historically designated certain built-in tools and helper steps as "free" — meaning they run as part of a workflow without decrementing your monthly task count. Understanding which steps are free lets you design more capable workflows within your existing plan limits, or choose whether a task-heavy design is worth upgrading for.

The specific list of free apps and steps has evolved over Zapier's history and continues to change with product updates. Zapier has at various times offered free execution for Formatter by Zapier steps, Filter by Zapier steps, paths, and certain built-in utility steps. The core principle: steps that transform or route data within Zapier without calling an external API have generally been treated as infrastructure rather than tasks. Steps that call an external app's API — creating a record, sending a message, updating a row — consume tasks.

Historically Free Zapier Steps

The following step types have generally been offered as free (verify current status in Zapier's pricing page, as these policies change):

  • Formatter by Zapier: Text formatting, date conversion, number operations, utilities, and spreadsheet-style functions all run without consuming tasks. You can chain multiple Formatter steps together and none of them count against your quota.
  • Filter by Zapier: Filter steps that stop a Zap from continuing based on conditions run without consuming a task for the filtered (stopped) run. The task count is not incremented if the Zap is stopped by a filter before reaching a paid action step.
  • Paths by Zapier: The path routing itself does not consume a task — only the action steps within each path that call external apps consume tasks.
  • Storage by Zapier: Get/set operations on Zapier's built-in key-value storage have historically been available at no task cost on certain plans.
  • Sub-Zap by Zapier: The step that calls another Zap may or may not count depending on plan — verify current pricing for your tier.

How Zapier Counts Tasks: The Core Rule

The core rule for task counting: one successful action step that communicates with an external app = one task. A Zap with five action steps that all successfully complete consumes five tasks per run. A Zap with five steps where the second is a Filter that stops the run consumes zero tasks (historically — verify current policy), because no external app was successfully called. A Zap with a Formatter step, a Filter step, and then a Gmail send step consumes one task when the filter passes and Gmail is called.

This means that smart use of Filter steps early in your Zap is both a reliability best practice (stop processing records that do not qualify) and potentially a task-efficiency measure (avoid consuming tasks on records that would not produce useful output). For workflows with high trigger volume but low processing volume — for example, monitoring every record update in a large Airtable base but only acting on records with a specific status — a well-placed Filter can significantly reduce task consumption.

One of the most common Zapier cost inefficiencies: a Zap triggered by a high-volume event (every row update, every email received) with a filter condition that rejects 90% of triggers — but the filter is placed after an action step that already consumed a task. Move filters before action steps to avoid paying for records you are going to reject anyway.

Zapier also states that Zapier Tables steps do not count toward task usage, which makes Tables a cost-effective place for lookup tables and run logs.

Apps That Have Offered Free Native Actions

Zapier has periodically offered "native" integrations for certain apps where specific actions do not consume tasks. These arrangements change with business partnerships and product decisions — always verify on Zapier's current pricing and partner pages. Historically, apps that Zapier has had deeper partnership arrangements with (including some that Zapier has acquired or invested in) have offered free task execution for certain actions. The practical advice: when evaluating two apps that can accomplish the same task, check whether either has a free task arrangement with Zapier before building the workflow.
