What to Do When Zapier Doesn't Have the Trigger or Action You Need

Zapier connects thousands of apps, but no platform covers every trigger and action that every app exposes in its API. When you discover that the specific event you want to react to, or the specific operation you want to perform, is not available in Zapier's native integration, you have more options than it might initially appear. The gap between "Zapier doesn't support this" and "this cannot be automated" is wide — and filled with workarounds that experienced builders use routinely.

The first thing to distinguish is whether the gap is a missing trigger (the event type is not in Zapier's list for that app), a missing action (the operation you want to perform is not in Zapier's list), or a missing app entirely (the app you need has no Zapier integration at all). Start by reviewing the full trigger and action list for the app — see how to see all available triggers and actions for any Zapier app. Each situation has different solutions, and some are much simpler than others.

Missing Trigger: Use the App's Webhooks Directly

If the specific event you want to trigger on exists in the app (you can find it in the app's documentation or settings), but it is not exposed as a trigger in Zapier's native integration, check whether the app supports outgoing webhooks. Most modern apps allow you to configure a webhook URL in their settings and select which events to send. If so, use "Webhooks by Zapier — Catch Hook" as your trigger, paste the Zapier webhook URL into the app's settings, and configure which event types to send. This gives you instant access to any event the app can webhook, regardless of whether Zapier has built a native trigger for it.

This approach is exactly how to handle apps like WooCommerce, custom-built internal tools, or niche SaaS products that have webhook support but limited Zapier integration coverage. The payload arrives as raw JSON, and you map the fields yourself in the Zap editor — more manual than a native trigger, but fully functional and often more flexible.

Missing Action: Use Webhooks by Zapier to Call the API Directly

If the action you need is not in Zapier's integration for an app, but the app has a REST API, you can call it directly using "Webhooks by Zapier" as an action step with method POST, PUT, PATCH, or DELETE as appropriate. Configure the URL (the API endpoint from the app's documentation), set the required headers (typically Authorization with your API key or Bearer token), set the Content-Type to application/json, and structure the request body using the fields from your trigger data. This requires reading the app's API documentation, but is entirely doable without writing code for most REST APIs.

  • Find the API documentation for the app (search "[app name] API documentation" or look in the app's developer settings).
  • Identify the endpoint URL, required HTTP method, authentication format, and required request body fields.
  • Add "Webhooks by Zapier" as an action step, select the appropriate method (POST is most common for creating records).
  • Set the Authorization header using your API key or token as specified in the documentation.
  • Map trigger fields into the request body JSON structure.
  • Test with a real record and inspect the response to confirm success.

If a system has no API or webhooks but can export files to a server, SFTP by Zapier can trigger on those files instead.

Missing App: Code by Zapier

When an app has no Zapier integration at all but has a documented API, the "Code by Zapier" step lets you write JavaScript or Python to make any API call and return data to subsequent Zap steps. This is the most powerful escape hatch in Zapier's toolkit — it lets you interact with any API, transform data in complex ways, or implement business logic that cannot be expressed through built-in actions. The downside is that it requires coding ability and is harder to maintain than a point-and-click configuration. For complex cases, consider whether Make.com's HTTP module provides a better interface for the same task, as it is often more approachable for teams without coding experience. See also Zapier vs Make for business process automation for a comparison of where each tool is stronger.

The phrase "Zapier doesn't support that" is almost always more accurately stated as "Zapier's native integration for that app doesn't include that specific event or action." The underlying capability is often accessible through webhooks, direct API calls, or code — if you know where to look.

When to Escalate to a Consultant

Workarounds involving direct API calls and custom code are where many teams hit a wall. Reading API documentation, structuring JSON payloads, debugging authentication headers — these tasks require comfort with technical concepts that not every team has internally. This is a well-defined scope of work for an automation consultant: take the workflow you need, find the API endpoints required, build the Zap with custom webhook actions or Code steps, and hand it over documented and tested. For complex custom integrations, see the consulting guide on webhook and API integration for what that work involves. If you have a workflow that is blocked by missing triggers or actions, reach out to Automation Ace — this type of custom integration is a core part of the consulting work.
