Manychat

A practical field guide from Automation Ace.

Customers increasingly ask their first question in a DM: a comment on a reel, a reply to a story, a message after clicking an ad. Answering every one by hand does not scale, and leaving them for tomorrow loses the sale. Manychat is a chat marketing platform that automates those conversations on channels such as Instagram, Facebook Messenger, and WhatsApp, with a drag-and-drop flow builder and built-in tools for growing an audience.

This guide covers how to use Manychat with AI across the full customer journey: marketing (turning engagement into subscribers), sales (qualifying leads and passing them to your CRM), and customer support (answering, triaging, and escalating). It also covers where Zapier fits, which messaging rules shape your design, and the guardrails that keep AI replies on-brand.

What Manychat is and what it is good at

Manychat is built for conversations that start on social and messaging channels. It is strongest when:

  • Engagement already happens in DMs and comments. Creators, coaches, local businesses, ecommerce brands, and agencies running social ads get the most out of it.
  • You want instant replies. A comment on a post can trigger a DM within seconds, while the person is still interested.
  • You want to collect data in conversation. Email, phone, interests, and qualifying answers are saved to the contact as the chat happens.
  • Non-developers own the flows. Marketers can build and edit flows visually without waiting on engineering.

Manychat is not your CRM, helpdesk, or email platform. The best setups treat it as the conversation layer and sync the results to the systems your sales and support teams already use. Channel availability and features vary by plan, so check what is included before you design around a specific feature.

The building blocks you automate with

Almost every Manychat automation is a combination of the same pieces:

Building blockWhat it doesAutomation tip
TriggersStart a conversation: a keyword in a DM, a comment on a post, a story reply, an ad click, a link, or a QR codeGive every campaign its own trigger so you can report on it separately
FlowsVisual, multi-step conversations built in the Flow BuilderKeep flows short; send people to a sub-flow instead of building one giant flow
ContactsEveryone who has interacted with your account on a connected channelTreat the contact record as the source of truth for chat behavior, not for your whole customer history
TagsLabels such as interested-in-coaching or support-openUse tags for segments and states; use a consistent prefix like int_, stage_, src_
Custom fieldsStored values such as email, phone, budget, order number, or an AI summaryEvery value you will send to another tool should live in a custom field
Sequences and broadcastsScheduled follow-up and one-to-many messagesCheck channel rules before sending anything outside a conversation
Live ChatThe inbox where people take over from the botDesign the handoff on purpose: who gets it, how fast, and what context they see

If you plan your tags and custom fields before building flows, every later integration gets easier. The data design section covers naming.

Where AI fits in Manychat

Manychat offers AI features (sold as an add-on at the time of writing) that include:

  • Intention recognition: matches what someone means to the right flow, even when they do not type your exact keyword. “how much is it”, “price?”, and “what does this cost” can all reach the same pricing flow.
  • AI Step: a step you drop into a flow that holds a short AI-driven conversation toward a goal you define, such as qualifying a lead or answering product questions, and can save what it learns to custom fields.
  • Builder and writing helpers: AI that helps draft flows and improve message copy.

You can also bring your own AI. Send the conversation data to Zapier and run an AI step there, for example to score a lead against your ideal customer profile, then write the result back to a Manychat custom field. That approach is useful when the AI needs data from other systems, like your CRM or order database.

A good AI Step instruction is specific about the goal, the limits, and when to stop. A starting template for a sales-qualifying step:

Role: You are the assistant for [Business]. You help people choose
the right [service/product] and book a call.

Goal: Learn three things: what they need help with, their timeline,
and their budget range. Then save them to custom fields.

Rules:
- Ask one question at a time. Keep replies under 3 sentences.
- Never quote prices beyond the published starting price.
- Never promise results, refunds, or delivery dates.
- If they ask about an existing order, a refund, or a complaint,
  stop and route to a human.
- If they are not a fit, say so politely and offer the free guide.

Finish when all three fields are filled, or after 6 messages.

Test prompts against real messages before going live, and keep versions so a change does not quietly alter every conversation; see how to version and test AI prompts.

Messaging rules to design around

Messaging channels have rules that marketing email does not. Meta's platforms generally limit when a business can send messages after someone's last interaction (commonly described as a 24-hour messaging window), and messages sent outside it are restricted to specific, non-promotional purposes or to people who opted in to ongoing notifications. WhatsApp uses approved templates for business-initiated messages. The details change, so check Manychat's and Meta's current policies before planning a campaign.

What this means for automation design:

  • Do the important work inside the conversation. Collect the email, send the link, and book the call while the window is open.
  • Move long follow-up to channels you own. Capture an email or phone number with consent, then run long nurture sequences in your email or SMS platform.
  • Store consent explicitly. Keep opt-ins in custom fields so every downstream tool can check them. SMS has its own rules; see SMS compliance for automations.

Marketing: turn comments and DMs into subscribers

The classic Manychat marketing pattern is comment-to-DM: you post a reel that says “comment GUIDE and I will send it to you,” and Manychat replies to every comment with a DM. Build it like this:

  1. Trigger: a comment containing your keyword on a specific post (or all posts). Add a public reply to the comment so others see it works.
  2. Deliver value first: send the guide link right away, before asking for anything.
  3. Ask for an email: offer a bonus or a related resource in exchange for an email address, saved to a custom field.
  4. Tag the interest: add int_topic and src_post_name tags so you know what they wanted and where they came from.
  5. Sync: send the email and tags to your email platform with Zapier. For an example, see Kit email marketing automation.

AI improves this flow in two ways: intention recognition catches people who misspell or paraphrase the keyword, and an AI reply can answer a follow-up question (“is this for beginners?”) instead of dead-ending the conversation.

Other marketing flows that work well: story-reply giveaways, quiz-style product finders, event registrations, and click-to-message ads that start a flow instead of landing on a page. If you also run Facebook lead ads, the integrations in Meta and Facebook Zapier integrations fit alongside Manychat.

Sales: qualify leads and hand them to your CRM

When someone asks about pricing or services in a DM, the goal is to qualify them quickly and get qualified buyers into your sales process while they are engaged.

  1. Start: a pricing keyword, an ad click, or an intent match on “how much” style questions.
  2. Qualify: an AI Step (or a few fixed questions) learns the need, timeline, and budget range and saves them to custom fields.
  3. Decide: set a stage_ tag: qualified, nurture, or not a fit.
  4. Hand off: qualified leads get a booking link; a “Trigger a Zap” step sends the contact to Zapier.
  5. Create in CRM: Zapier searches your CRM for the email, then creates or updates the contact and deal with the AI summary attached.
  6. Close the loop: write the CRM record id or owner name back to a Manychat custom field so the bot knows the lead has been handled.

A clean payload from Manychat to Zapier looks like this:

{
  "manychat_contact_id": "{{contact id}}",
  "first_name": "{{first name}}",
  "email": "{{email}}",
  "channel": "instagram",
  "source_campaign": "src_reel_pricing_guide",
  "need": "{{need}}",
  "timeline": "{{timeline}}",
  "budget_range": "{{budget range}}",
  "ai_summary": "{{ai summary}}",
  "fit": "qualified | nurture | not_a_fit"
}

For the CRM side, automating the sales pipeline with Close + AI covers what happens after the lead lands, and lead routing automation covers how to assign an owner. For scoring logic, see AI lead qualification with Zapier and OpenAI. Always search before you create, or you will end up with duplicate contacts; see why Zapier creates duplicate records.

For high-value leads, notify a rep in real time and let them take over in Live Chat. A fast human reply after an AI qualifier is often what converts.

Customer support: answer, triage, and escalate

Support in DMs works best as three layers:

  • Answer: intention recognition sends common questions (hours, shipping, sizing, how to reset a password) to short answer flows. Keep answers specific and link to your help center for detail.
  • Look up: for order status or account questions, collect an identifier and look it up through an integration, an API call from Manychat, or a Zapier step that returns the result to a custom field. Never ask for passwords or full payment details in chat.
  • Escalate: anything the bot cannot resolve, or that involves refunds, complaints, or frustration, goes to a person in Live Chat or becomes a ticket in your helpdesk with an AI-written summary, so the customer does not repeat themselves.

Tag urgency and topic on every escalation. Those tags drive routing in your helpdesk and give you a weekly view of what customers ask about most, which tells you which answer flows to build next. The patterns in support ticket triage automation and AI email triage apply directly to DM support.

Set expectations outside business hours: tell people when a human will reply, collect the details now, and make sure the queue is the first thing your team sees in the morning.

What runs in Manychat vs Zapier vs a person

Runs best in ManychatRuns best in Zapier or your own codeNeeds a person

The conversation itself, including AI StepAdding subscribers to email listsPricing negotiation and custom quotes
Tags and custom fields on the contactCreating support tickets with full contextComplaints and sensitive situations
Live Chat handoffOrder lookups and other API calls with logicAnything the AI is not confident about

This split keeps flows simple for the people who edit them while keeping business logic in one place. If you are new to how triggers and actions connect, start with API vs webhook: when to use each.

Connecting Manychat to Zapier

The Manychat app on Zapier can start Zaps on events such as a new subscriber, a new tag added to a contact, a custom field being set, or a “Trigger a Zap” step inside a flow. Actions can add or remove tags, set custom field values, and send content to a contact, and searches can find a contact by custom field or name. Check Zapier for the current list when you build.

The most flexible pattern is the explicit Trigger a Zap step: you decide in the flow exactly when data leaves Manychat, rather than reacting to every tag change. Then:

  • Use a filter or Paths to branch on fit, channel, or campaign.
  • Write results back to Manychat custom fields (CRM id, order status, ticket number) so the bot can use them in the next message.
  • Send a final message with “send content” when the outside work finishes, for example “your ticket number is 4821.”

If an event or action is missing from the app, Webhooks by Zapier and API by Zapier usually fill the gap; see workarounds for missing Zapier triggers and actions.

Designing tags and custom fields

Messy tags are the most common reason Manychat setups become hard to maintain. A few rules help:

  • Prefix by purpose: src_ for source, int_ for interest, stage_ for lifecycle, sup_ for support state.
  • Use custom fields for values, tags for states. Budget, email, and order number are fields; “asked for pricing” is a tag.
  • One writer per field. Decide whether Manychat or the CRM owns lifecycle stage, and sync in one direction.
  • Remove tags when a state ends. A sup_open tag that never gets removed breaks every support report.
  • Document it. Keep a simple list of tags, fields, and what writes them; the same habit described in CRM data hygiene automation.

AI guardrails for customer-facing chat

AI in a DM speaks for your brand in public, at scale. Put limits around it:

  • Narrow the job. One goal per AI Step: qualify, recommend, or answer. Broad “help with anything” prompts drift.
  • Ban risky claims. No custom pricing, guarantees, medical, legal, or financial advice, and no promises about refunds or delivery dates.
  • Always offer a human. Make “talk to a person” work at every step, and escalate automatically on frustration or sensitive topics.
  • Check outputs that leave the chat. When AI output goes to a CRM or helpdesk through Zapier, validate it first; AI Guardrails by Zapier and Human in the Loop help.
  • Review transcripts weekly. Read a sample of AI conversations and update the instructions based on what went wrong.
  • Collect only what you need. Do not gather sensitive personal data in DMs.

Metrics to track

  • Marketing: comment-to-DM rate, DM-to-email capture rate, and subscribers by source tag.
  • Sales: qualification rate, booking rate, time from first DM to booked call, and revenue by source campaign in your CRM.
  • Support: share of conversations resolved without a person, escalation rate, first response time, and repeat-contact rate.
  • AI quality: how often people ask for a human mid-AI conversation and how often reviewers flag a reply.

Record a baseline first; see defining success metrics before you automate.

A practical rollout order

  1. Week 1: define tags and custom fields, then launch one comment-to-DM flow for your best-performing content.
  2. Week 2: sync captured emails and tags to your email platform with Zapier.
  3. Week 3: add a pricing or services flow with qualifying questions and a CRM handoff.
  4. Week 4: add FAQ answer flows and a clear Live Chat handoff for support.
  5. Then: add intention recognition and AI Steps, run them alongside human review for a few weeks, and expand to order lookups and ticket creation.

Frequently asked questions

What is Manychat used for?

Manychat automates conversations on messaging and social channels such as Instagram, Facebook Messenger, and WhatsApp. Businesses use it for marketing (turning comments and DMs into subscribers), sales (qualifying leads and booking calls), and customer support (answering common questions and routing the rest to a person).

How does Manychat use AI?

Manychat offers AI features, sold as an add-on at the time of writing, including intention recognition that matches what people mean to the right flow, and an AI Step that holds a short goal-driven conversation inside a flow and saves what it learns to custom fields. You can also send conversation data to Zapier and run your own AI step there.

Can Manychat connect to Zapier?

Yes. The Manychat app on Zapier can start Zaps on events such as a new subscriber, a new tag, a custom field update, or a Trigger a Zap step in a flow, and it can add or remove tags, set custom fields, and send content to a contact. Check Zapier for the current list of triggers and actions.

How do I send Manychat leads to my CRM?

Collect the lead details in custom fields, add a Trigger a Zap step when the lead is qualified, then have Zapier search your CRM by email and create or update the contact and deal. Write the CRM record id back to a Manychat custom field so the bot knows the lead has been handled.

Can Manychat handle customer support?

Manychat can answer common questions with intent-matched answer flows, look up information such as order status through integrations, and escalate everything else to a person in Live Chat or to a helpdesk ticket with a summary. Refunds, complaints, and sensitive issues should always reach a human.

What is a comment-to-DM automation?

A comment-to-DM automation sends a direct message to anyone who comments a specific keyword on a post. It is commonly used to deliver a lead magnet, collect an email address, and tag the contact by interest for follow-up.

What is the 24-hour messaging window?

Meta platforms generally limit when businesses can send messages after a person's last interaction, commonly described as a 24-hour window. Messages outside it are restricted to specific non-promotional purposes or people who opted in to ongoing notifications. Rules change, so check Manychat and Meta for the current policy.

Should AI replies in Manychat run without human review?

Start with AI handling narrow, low-risk jobs such as FAQ matching and qualification, always offer a way to reach a person, and review conversation samples weekly. Keep pricing exceptions, refunds, and complaints with a human.
