Microsoft Zapier Integrations: Teams, Office 365, Outlook, SharePoint, and Azure

Organizations running on Microsoft 365 — Teams for communication, Outlook for email, SharePoint for documents, Excel for data — have robust Zapier integration options for each product. Microsoft's Zapier connectors are among the most-used in the platform, reflecting how widely Microsoft tools are deployed in business environments. Microsoft Teams on Zapier

Microsoft Teams is one of the most commonly used Zapier integrations for Microsoft organizations. Trigger options include: new channel message, new mention, and new team member added. Action options include: send channel message, send direct message, and create a channel. The primary use case for Teams as a Zapier action is routing alerts and notifications from external systems into Teams channels — CRM deal closed notifications, form submission summaries, monitoring alerts, and project status updates from tools that do not have native Teams integrations. Teams as a trigger (new channel message) is less commonly used but can drive workflows that parse inbound messages for structured data or keywords.

Microsoft Outlook on Zapier

Outlook has one of the richest Zapier connector sets in the Microsoft ecosystem. Triggers include: new email, new email matching search, new calendar event, and new contact. Actions include: send email, create calendar event, create contact, and create draft. The high-value patterns for Outlook automation: routing specific inbound emails (matched by sender, subject, or keyword) into CRM records or task management tools; creating calendar events from form submissions or CRM deal milestones; and sending templated emails from Zaps for transactional notifications. Microsoft Excel on Zapier

Excel's Zapier integration treats spreadsheets as a database — rows can trigger workflows and rows can be written as actions. Triggers: new row in table, updated row in table. Actions: add row, update row, find row. Common patterns: logging data from any SaaS trigger into an Excel table for reporting; updating an Excel row when a CRM record changes; and reading an Excel lookup table to enrich data mid-workflow. Excel on Zapier requires files stored in OneDrive or SharePoint, not locally saved files. For teams choosing between Excel and Google Sheets as a Zapier-connected data layer, both are functionally equivalent — the choice comes down to which product the organization already standardizes on.

Microsoft SharePoint and OneDrive on Zapier

SharePoint and OneDrive have Zapier integrations focused on file management. SharePoint triggers: new file in folder, updated file in folder, new list item, updated list item. OneDrive triggers: new file in folder, new or updated file. Actions for both include: upload file, create folder, and find file. The most useful SharePoint Zapier pattern is document-triggered workflows: when a new file is added to a SharePoint document library, trigger a review or approval notification in Teams, log the upload in a tracking spreadsheet, or move the file to a different folder based on metadata. SharePoint list items behave similarly to database records and can trigger Zaps the same way any CRM event would.

Microsoft Azure Active Directory on Zapier

Azure AD (now Microsoft Entra ID) on Zapier provides user provisioning and deprovisioning actions — create user, update user, and find user. The primary use case is HR system integration: when a new employee record is created in an HRIS, automatically create the Azure AD user account; when an employee offboards, trigger account deactivation. This pattern requires careful testing given the security implications of automated account management, but when implemented correctly it eliminates one of the most error-prone manual IT processes in a Microsoft-centric organization.

Microsoft To Do and Planner on Zapier

Microsoft To Do and Microsoft Planner both have Zapier integrations for task creation and management. Triggers: new task, completed task. Actions: create task, update task. These are most useful for bridging external systems with Microsoft's task management tools — creating To Do tasks from Outlook emails, Planner tasks from form submissions, or syncing tasks bidirectionally between a project management tool and Planner for teams that use both.
