HubSpot has powerful native automations, but they only work within HubSpot. The moment you need to connect a deal stage change to an external tool — a project management system, a billing platform, a Slack channel, an Airtable base — you need Zapier. This guide covers the highest-value HubSpot + Zapier patterns and the common configuration mistakes that cause them to fail. What HubSpot's Native Workflows Can't Do

HubSpot Workflows (available on Professional and Enterprise plans) handle internal CRM actions well: enrolling contacts in email sequences, updating deal properties, creating tasks, notifying reps via in-app notifications. What they can't do is write records to Airtable, create rows in Google Sheets, post Slack messages with custom formatting, or trigger actions in tools that HubSpot doesn't natively integrate with. Zapier bridges that gap — and because Zapier's HubSpot connector is mature, it covers most standard HubSpot objects and events.

The HubSpot + Zapier Automations Worth Building First

  • New Contact → Slack notification: HubSpot "New Contact" trigger → Formatter to build a message with name, company, lead source, and form submission URL → Slack "Send Channel Message" to #new-leads with the formatted summary
  • Deal Closed Won → project creation: HubSpot "Deal Stage Change" trigger (filter: New Stage = Closed Won) → Airtable "Create Record" in Projects table with deal name, contact name, value, and close date pulled from HubSpot deal properties
  • Form submission → contact deduplication: HubSpot "New Form Submission" trigger → HubSpot "Find Contact" to check if the email exists → if found, update the existing contact with new form data; if not, create a new contact with source tagged to the specific form
  • Contact property change → external CRM sync: HubSpot "Updated Contact Property" trigger (watching "Lifecycle Stage") → Pipedrive or Salesforce action to update the matching record, keeping two CRMs in sync during a migration period

Building a Reliable HubSpot Deal Stage Zap

  1. In Zapier, choose HubSpot: Updated Deal as the trigger. Note: this fires on any deal update, not just stage changes — you'll need a filter to narrow it.
  2. Add a Filter by Zapier step: "Deal Stage" (the current stage field) contains your target stage name exactly as it appears in HubSpot (e.g., "closedwon" — HubSpot uses internal stage IDs, check your deal stage settings for the exact value).
  3. Add a HubSpot: Find Contact action using the associated contact ID from the deal trigger to pull contact details. This is necessary because the deal trigger doesn't automatically include contact email or name.
  4. Add your downstream action — Airtable create, Google Sheets append, Gmail send, Slack message, etc. — using properties from both the deal and the contact lookup.
  5. Test with a real deal by manually changing its stage in HubSpot staging or a sandbox deal. Check that all field mappings resolve correctly before publishing.

Tip: HubSpot's Zapier trigger for "Updated Deal" polls every 5–15 minutes depending on your Zapier plan. If you need faster response (like a real-time Slack alert when a deal closes), use HubSpot's native Workflow to write a webhook to a Zapier Catch Hook, which fires instantly. This requires HubSpot Professional or above for Workflow webhooks.

Syncing HubSpot with Airtable for Operations Teams

A very common pattern for agencies and service businesses: the sales team lives in HubSpot, the delivery team lives in Airtable. When a deal closes, the project needs to appear in Airtable without the account manager manually creating it. The Zap flow is: HubSpot "Deal Stage = Closed Won" → Airtable "Create Record" in Projects table → Airtable "Create Records" for each standard project task (using a loop or multiple create actions for a fixed task list) → Slack notification to the delivery channel with the project name and kickoff date.

Common HubSpot + Zapier Configuration Mistakes

  • Using HubSpot internal property names (like "hs_lead_status") in filter conditions instead of the display name — these are different and the Zapier field picker can be misleading
  • Triggering on "New Contact" and not handling the case where a contact already exists from a previous form submission — results in duplicate contact records
  • Not setting the HubSpot "Association" on created objects — a deal created via Zapier won't appear on a contact's timeline unless you explicitly associate them using a separate HubSpot "Add Association" action
  • Ignoring rate limits on high-volume use cases — HubSpot API has a 10-requests-per-second limit, and Zapier doesn't automatically handle this for bulk imports
