A practical field guide from Automation Ace.
The short answer
If your email is not on Gmail or Outlook, you can still automate it. Use IMAP by Zapier to trigger a Zap when a new email arrives in any IMAP mailbox, and SMTP by Zapier to send email through any SMTP server. That covers hosting-company mailboxes, cPanel email, Zoho Mail, Fastmail, Proton Mail Bridge, iCloud, Yahoo, legacy company servers, and most other providers that support standard protocols.
This guide explains when that is the right approach, what a no-Gmail, no-Outlook email automation looks like, and how to make it reliable. For the protocol basics, see SMTP vs IMAP.
Why automate email without Gmail or Outlook?
- Your mail is hosted elsewhere. Many small businesses use email bundled with their web host or domain registrar.
- The provider has no Zapier app, or its app lacks the trigger you need. See missing trigger or action workarounds.
- You want mail to come from your domain without routing it through a personal Google or Microsoft account.
- You need a specific folder or shared mailbox watched, such as
orders@orsupport@. - You are migrating and need automations that do not depend on one vendor. See version control for no-code automations.
What you need before you start
- IMAP settings: incoming server hostname, port (usually 993), and encryption (SSL/TLS).
- SMTP settings: outgoing server hostname, port (usually 587 or 465), and encryption.
- Credentials: the full email address as username, plus a password or app password.
- A dedicated folder or mailbox for the automation, so it only sees relevant messages.
- DNS authentication (SPF, DKIM, DMARC) configured for your sending domain so SMTP messages are delivered.
Step-by-step connection instructions, including provider notes and common errors, are in how to connect any email provider to Zapier using SMTP and IMAP.
Receive: trigger Zaps from incoming email with IMAP
IMAP by Zapier provides a New Email trigger (fires when a new message arrives in the mailbox or folder you choose) and a New Mailbox trigger (fires when a new folder is added). Typical fields available for mapping include sender, recipients, subject, date, and body.
- Filter server-side first. Create a rule in your email provider that moves specific messages into a folder, and point the trigger at that folder.
- Filter in Zapier second. Use a Filter on sender or subject to skip auto-replies and newsletters. If filters misbehave, see Zapier filter troubleshooting.
- Extract data. Use Formatter, a Code step, an AI step, or Email Parser by Zapier to pull out order numbers, names, and amounts.
Send: deliver email from your domain with SMTP
SMTP by Zapier provides a Send Email action that sends through your SMTP server. Map the recipient, subject, and body from earlier steps. Because the message goes through your server, it comes from your real address, replies land in your inbox, and your domain's authentication applies.
- Keep it transactional. Confirmations, alerts, internal notifications, and one-to-one replies are a good fit. Bulk marketing belongs in an email marketing platform such as Kit or Campaign Monitor.
- Respect provider limits. Most hosts cap hourly or daily sends. Exceeding them can lock the account.
- Check formatting. Test how your message renders. Zapier's SMTP action has been described as sending plain text, so confirm current formatting options before designing rich HTML emails.
Example: order inbox to CRM with an auto-acknowledgement
IMAP by Zapier: New Email in "Orders" folder
→ Filter: subject contains "New order"
→ Formatter / Code: extract order ID, customer email, total
→ Airtable or CRM: create or update record (search first)
→ Slack: notify the fulfillment channel
→ SMTP by Zapier: Send Email to customer from orders@yourdomain.com
Search before creating so repeated messages do not create duplicate records. For the Airtable side, see Airtable automation.
Reliability tips
- Password changes break connections. Rotating a mailbox password or app password disconnects the Zap. See why Zapier keeps asking to reconnect.
- Expect polling delays for IMAP triggers. For truly instant email triggers, a forwarding rule to an Email by Zapier address can be an alternative.
- Watch for loops. A Zap that sends to the same mailbox it watches can trigger itself. See why a Zap gets stuck in a loop.
- Monitor it. Add error notifications and put the mailbox on your maintenance checklist.
- Protect sensitive email. If emails go to an AI step, check for PII first.

Frequently asked questions
Can I use Zapier with email that is not Gmail or Outlook?
Yes. IMAP by Zapier can trigger Zaps from any mailbox that supports IMAP, and SMTP by Zapier can send email through any SMTP server, including hosting-company email, Zoho Mail, Fastmail, iCloud, and Yahoo.
What do I need to connect my email host to Zapier?
You need the IMAP and SMTP server hostnames, ports, and encryption type from your provider, plus your email address and a password or app password.
Is IMAP by Zapier instant?
No. IMAP triggers poll the mailbox on your plan's update interval, so there can be a delay. Forwarding to an Email by Zapier address is one option when you need faster triggers.
Can I send bulk email with SMTP by Zapier?
It is best for transactional and one-to-one messages. Bulk marketing email should go through an email marketing platform, and most mail hosts limit how many messages you can send per hour or day.
Disclaimer: Zapier features, plan availability, and settings can change.
