Pipedrive's Native Automations vs. Zapier: Where Each Fits
Pipedrive has a built-in automation feature (available on Advanced plan and above) that handles internal CRM actions: move a deal to the next stage, create an activity, send an email template when a deal stage changes. These work well and run instantly. Zapier is for everything outside Pipedrive — creating a Google Drive folder when a deal is won, syncing contacts to Mailchimp, posting to Slack, creating a project in Asana, or generating an invoice in QuickBooks. The two layers work together: Pipedrive automation handles what's inside Pipedrive, Zapier handles cross-app connections.
The Highest-Value Pipedrive + Zapier Automations
- Web form → Pipedrive lead: Typeform or JotForm "New Submission" → Pipedrive "Create Person" + "Create Deal" with the submission data mapped to Pipedrive fields, Source custom field set to the form name, and Owner set based on a lookup table by territory or product
- Deal Won → project kickoff: Pipedrive "Deal Stage Changed" trigger (filter: Stage = Won) → Airtable "Create Record" in Projects → Slack notification to the delivery team → Google Drive "Create Folder" named with the client's organization name
- New Pipedrive Activity → Google Calendar event: Pipedrive "New Activity" trigger → Google Calendar "Create Event" with activity subject as event title, due_date as event date, and the associated person's email as an attendee
- Stale deal alert: scheduled Zap daily → Pipedrive "Find Deals" filtered to Stage = Active AND Last Activity Date more than 14 days ago → Slack DM to the deal owner listing their stale deals with last activity date
Building the Web Form → Pipedrive Lead Capture Zap
- Trigger: Typeform: New Entry (or your preferred form tool). Pull a test submission to map the fields.
- Add a Formatter: Text — Capitalize step for the name field to normalize capitalization.
- Add Pipedrive: Find Person using the email field from the form. This checks if the person already exists in Pipedrive before creating a duplicate.
- Add a Filter: only continue if the Pipedrive "Find Person" step returned no match (i.e., the person doesn't exist yet). This prevents duplicate entries.
- Add Pipedrive: Create Person with first name, last name, email, phone, and any custom fields mapped from the form. Note the returned Person ID for the next step.
- Add Pipedrive: Create Deal linked to the Person ID from the previous step. Set Title to "[Company Name] — [Product Interest]," Stage to your first pipeline stage, and Owner based on your routing logic.
Tip: Pipedrive's Zapier trigger for "Updated Deal" fires on any deal change, not just stage changes. Always add a Filter step immediately after this trigger to check the specific field that changed — otherwise your Zap will fire every time a deal note is added, a due date is updated, or someone corrects a typo in the deal title. The Filter step is not optional for this trigger.
Syncing Pipedrive with a Project Management Tool
The Pipedrive → project management handoff is one of the most common Zaps I build. When a deal closes, the sales team's job is done and the delivery team's job starts. The Zap needs to pass context from the deal to the new project: client name, contact email, deal value, product purchased, expected close date (which becomes the project start date), and any notes the sales rep added in Pipedrive.
The challenge is that Pipedrive notes aren't directly accessible from the "Deal Stage Changed" trigger — you need a separate Pipedrive: Get Deal action to fetch the full deal record, and then a Pipedrive: Search Notes action (or a direct API call via Webhooks by Zapier) to fetch the most recent note text. This two-step lookup pattern is the most common "why isn't this working" moment when building Pipedrive Zaps — plan for it upfront.
