Coaches spend their best time with clients — but most coaches also spend hours each week on scheduling, intake paperwork, payment follow-up, and onboarding tasks that could run on autopilot. The Coaching Workflow That Eats the Most Time

In almost every coaching business I've worked with, the highest-friction manual process is the gap between "someone books a discovery call" and "they show up prepared and ready to buy." That gap typically involves: confirming the booking, sending a pre-call questionnaire, following up if the questionnaire isn't returned, and making sure the coach has the questionnaire answers before the call starts. Done manually, this takes 15–30 minutes of admin work per prospect. Automated, it takes zero.

The Discovery Call Automation Stack

  • Calendly: New Invitee Created → Zapier trigger fires immediately when someone books a discovery call
  • Typeform or JotForm → send an automated email with a link to the pre-call questionnaire, personalized with the prospect's name and call date/time from the Calendly data
  • Airtable: Create Record → log the prospect in your Clients table with Status = "Discovery Booked," fields for name, email, call date, and a linked Questionnaire record when they submit it
  • Gmail: Send Email via a second Zap when the questionnaire is submitted → "Thanks for completing your prep form — I'm looking forward to our call on [date]. Here's what to expect..."
  • Slack DM to yourself triggered by the questionnaire submission → "New pre-call form received from [name] — call is [time]. Key notes: [questionnaire summary field]."

Automating Client Onboarding After a Sale

  1. Trigger: Stripe: New Payment (or your payment processor of choice — ThriveCart, PayPal, Kajabi) filtered to your coaching package product ID.
  2. Add Airtable: Update Record to change the client's Status from "Discovery" to "Active Client" and set the Program Start Date to today.
  3. Add Gmail: Send Email with your welcome email template — include access links to your client portal or course platform, next steps, and the direct scheduler link for their first session.
  4. Add Zapier: Create Zap Task (or Airtable: Create Record in your Tasks table) to create a follow-up reminder for yourself: "Schedule first session with [client name] — due in 2 days."
  5. If you use a course platform (Kajabi, Teachable, Thinkific): add the appropriate Zapier action to grant the client access to the enrolled program automatically, so they don't have to wait for you to manually add them.
  6. Add Slack: Send Channel Message to your private #new-clients channel: "New client enrolled: [name] — [program name] — $[amount]. First session TBD."

Tip: Set up a weekly check-in automation for active clients. Every Monday, a scheduled Zap looks at your Airtable Clients table for records where Status = "Active" and Last Session Date is more than 14 days ago. For each one, it sends you a Slack reminder: "[Client name] hasn't had a session in 15 days — check in?" This prevents clients from going quiet mid-program without you noticing until they ask for a refund.

Payment and Invoice Automation for Coaches

For coaches on payment plans (e.g., 3x monthly payments for a 90-day program), Stripe Subscriptions or ThriveCart's recurring billing handles the charge scheduling. But you still need to automate what happens when a payment fails. Build a Zap triggered by Stripe: Payment Failed that sends the client an email with a direct link to update their payment method, then logs the failed payment in Airtable with Status = "Payment Failed" and triggers a follow-up reminder if not resolved within 3 days.

The Tech Stack That Works Best for Coaches

Most coaches run a simple stack that plays well with Zapier: Calendly for scheduling, Typeform or JotForm for intake and questionnaires, Stripe or ThriveCart for payments, Gmail for client communication, Airtable as the CRM and client tracker, and Kajabi or Teachable if they have a course component. All of these have solid Zapier connectors and connect without code. The goal is to get the admin side running automatically so coaching time goes to coaching, not to chasing forms and sending welcome emails.
