Automating Client Intake: From Web Form to Consultation

- Add Slack: Send Channel Message to your #new-inquiries channel with the potential client's name, matter type, and a link to the Airtable record. This is where the conflict check and next-step assignment happen.
- Once the conflict check is cleared (an attorney marks the Airtable record "Cleared"), an Airtable automation sends the potential client a Calendly link for their consultation slot, scoped to the relevant practice area attorney's calendar.
Tip: Build the conflict check step into the Airtable record rather than as a separate process. Add a "Conflict Check Status" single-select field (Pending / Cleared / Conflict Found) and a "Checked By" field. The Airtable automation that sends the Calendly link should only fire when Conflict Check Status changes to "Cleared" — this makes the human step explicit and required before any automated communication continues.
Matter Creation Automation After Retainer Signing
Once a client signs the retainer (via PandaDoc or DocuSign), the matter creation process can be largely automated:
- PandaDoc: Document Completed Zapier trigger → update the Airtable Potential Client record Status to "Active Client" and record the signed date
- Zapier → Google Drive: Create Folder inside your Matters folder, named "[Client Last Name] - [Matter Type] - [Year]," with sub-folders for Correspondence, Pleadings, Research, and Billing
- Zapier → Gmail: Send Email to the client with a welcome email outlining what happens next, their primary contact's name and direct line, and a link to the client intake questionnaire for matter-specific information

Document Collection and Deadline Automation
One of the most stressful parts of legal operations is chasing clients for documents. Build an automated follow-up sequence using an Airtable "Document Requests" table with fields for Requested Document, Client (linked), Requested Date, Due Date, and Status (Pending / Received / Overdue). An Airtable scheduled automation runs daily: find records where Status = "Pending" AND Due Date = today → send a reminder email to the client asking for the document.
